In this new year of 2010, the Kamanawa Foundation, an educational non-profit cultural organization humbly extends its invitation to you to participate as a craft or food vendor in the 9th Annual Kauai Polynesian Festival, a celebration of cultural exchanges. Kauai's exciting festival is set for Memorial Day Weekend, May 27-30, 2010 at the Vidinha Stadium Soccer Field on Kauai with a "Polynesian Grand Luau" on Thursday, May 27. Kauai's exciting signature event will include various Polynesian dance competitions, educational dance workshops, in-depth seminars and cultural dance exhibitions.

We cordially invite you to come and participate as a craft or food vendor at the 9th Annual Kaua'i Polynesian Festival. Together with the organizers of the Kamanawa Foundation we will strive to make this festival a success for Kauai's community and its island organizations. To be successful, we must be able to work in harmony and build a respectful and honest relationship amongst one another. With this positive attitude, we invite you to come and join us, as we humbly build this exciting Kauai event for our children, community and families.   • Vendor application complete with proposed craft items sold, disclaimer waver form signed & mailed to Chairperson Naomi Tabonair, PO Box 253 Hanamaulu HI 96715.
  • One certified check or money order payable to "Kamanawa Foundation" for application fees of $250 for 3-days with electrical fees additional if applicable. Also 1-$50 gift item or a combination of items as gift award.
  • Set aside funds for vendor's worker passes to be purchased ($8 in advance or $10 at the gate or $25 for 3-days)
  • Submit license number of vehicle entering the park.

Disclaimer Waver: All participants must read and sign disclaimer waver for participation with Kauai Polynesian Festival/Kamanawa Foundation.
For and in consideration of the Kamanawa Foundation providing the "Kauai Polynesian Festival", we the undersigned, jointly, individually and in any representative or legal capacity, on behalf of our respective selves, heirs, executors, and/or administrators, do hereby waive, release, discharge and agree to hold harmless and indemnify the Kamanawa Foundation, its officers employees and guest, individually and in the official capacity, from all liability or loss or any claim for death, injury, or damage to property resulting directly or indirectly from the undersigned participants participation in the festival. We further avow that our aforesaid waiver release, discharge and agreement shall be applicable to any owner of a facility and/or property at or upon which the program is held. The undersigned grant to the Kamanawa Foundation, its successors and assigns, and anyone it may authorize, any photographs, my voice, my own name or any fictitious name, for any advertising, publicity, promotion, trade or any other lawful purpose, in any medium now known or hereafter developed.

I hereby waive any right I may have to inspect and approve the finished product or such written or spoken copy that may be used in connection therewith, or the use to which it may be applied. I agree that I will not hold Kamanawa Foundation/Kauai Polynesian Festival or anyone, or concern it may authorize, responsible for any liability resulting from the use of my name, voice, photograph(s) and or statements in the matter described above, including any defamation due to any distortions, alterations, optical illusions or faulty reproductions. I understand that no statement or fact or opinion has been made other than as herein set forth and is executed by me with full knowledge and understanding of the facts and possibilities. If I am unable to read the release, the undersigned interpreter has read and explained the contents of the Release and I am fully aware of the facts and possibilities. The undersigned agrees to abide the dress and conduct standards set for the competition and agrees that the Judging Committee has the final word on what standards of appearance are acceptable or not.










ARTS & CRAFT VENDOR AREA

  • Tables must be covered with table cloths provided by each vendor
  • Each vendor will have a space of 10 x 10 feet working area
  • No pets will be allowed in the vendor area
  • Each vendor is responsible for his/her own trash disposal daily
  • Smokers are to provide proper disposal for all cigarette butts other than the ground
  • Staff members will be available upon arrival (at the entry gate and at the craft tents) to assist vendors in booth location and to answer any questions
  • Please see the enclosed information for festival hours and scheduling. Lighting will be provided
  • Kauai Polynesian Festival reserves the exclusive use of a two-way radio frequency on the grounds during the festival. Please have radios prepared for other frequencies
  • The arts & crafts booth coordinator reserves the right to remove any work that might be objectionable to the average viewing public and reserves the right to make final interpretation of conditions which may apply
  • KPF will provide adequate overhead string lights. Vendors with special lighting needs inform Chairperson Naomi Tabonair ahead of time. (1) one outlet $25, (2) two outlets $75, (3) three outlets $125.
  • Exhibitor's children must be under adult supervision at all times on festival grounds

CRAFT VENDOR RULES & REGULATIONS


IMPORTANT: Please keep in mind the success of this festival relies on every component working together as one body. To be successful, we must be able to work in harmony and build a respectful and honest relationship amongst one another. To comply with the rules & regulations of the festival is where we begin.

Thursday May 27. All Food /Craft Vendors may use this time to set up from 2:00p.m.to 6:00p.m. You may use this time to bring in your additional tents, tables and any other equipment your booth requires. Each vendor must operate own booth for a three- day minimum. There is no security available for these day.

Gates open to public at 11:30a.m. on Friday, Saturday, and Sunday. All vendors must be in full operation and "ready to go" one (1) hour before gates open. Failure to comply with this "ready to go one hour before gates open" requirement will result in complete SHUT DOWN for the day with no refund. KPF has the right to refuse your organization to operate should organization refuse to comply.

Friday, May 28. Gates open at 11:30a.m..
Vendors may enter the soccer field from 7::00a.m. Friday to set up, prepare and ready to go one hour before gates open.

Saturday, May 29. Gates open at 11:30a.m. Vendors may enter the park from 7:00a.m. Saturday to set up, prepare and be ready to go one hour before gates open.

Sunday, May 30. Gates open to public at 11:30a.m. Vendors may enter the park as early as 7:00a.m. to set up, prepare and ready to go by 10:30a.m.

All booths must be set up and ready to go at times specified and vehicles removed from the park area to the parking lot area one (1) hour prior to gates opening to the public. No vendor vehicle will be admitted without a vehicle pass. Vehicle passes are a definite MUST. NO EXCEPTIONS.

Vendors will be allowed to bring one (1) vehicle into the soccer field to unload. No vehicles will be allowed on the field after designated times listed above. No vehicles will be allowed on the grounds during festival hours. Each vendor must submit to Arts & Craft Chairperson license number of vehicle entering the park to unload. Only car passes with registered license number with KPF will be allowed to enter the field. All others will be denied. NO EXCEPTIONS.

One vehicle entry pass and two vendor gate entry passes will be issued to each vendor. Only two people with entry pass will be admitted free with vehicle parking pass into the event area. All others are to purchase ticket. Tickets are $25 for three days or $10 at the gate.

Each vendor will be provided with (1) one 8' table. Note: These are tables measuring 8" x 2x5. Vendors to provide own tablecloth or coverings. Craft vendors may bring additional tables as long as they meet the space requirement of a 10 x 10 space. Additional tables are $25.
